Legal Basis & Transparency
Legal Vault is a legal technology and workflow product. This page explains the separation between the platform, the solicitor practice and the professional legal relationship.
1. Legal Vault is not a solicitor practice
Legal Vault structures enquiries, information gathering, services and payments, assignment, progression and oversight. It does not provide legal advice and it does not replace the professional judgement of a solicitor.
2. The solicitor practice remains responsible
A participating solicitor practice remains responsible for deciding whether to accept an instruction, carrying out conflicts and client-identity procedures, providing required costs information, agreeing engagement terms, delivering legal advice and conducting the matter.
3. Client-facing information
Structured questionnaires and service descriptions are intended to help collect useful information consistently. They should not be treated as legal advice or as a guarantee that a matter will be accepted.
4. Payment transparency
Where payment is enabled, Legal Vault can record the commercial status around the transaction while the payment provider handles sensitive payment credentials. Payment status and legal engagement status are separate.
5. Security and access
Production deployments are intended to separate the public practice website from the controlled Vault environment. Access can be restricted to authorised users and different staff functions can be given different capabilities.
6. Audit and accountability
Legal Vault is designed to support traceable operational activity, including access and workflow events where configured. Audit information supports accountability but does not replace the practice’s own professional record-keeping obligations.
7. Data-protection roles
The precise data-protection roles for a live deployment depend on how the solicitor practice uses Legal Vault and which services are configured. Those roles should be set out in the practice’s privacy information, deployment documentation and any required data-processing agreement.
8. Regulatory context
Solicitor practices remain responsible for complying with applicable Irish legal-services, professional, consumer, costs-transparency, anti-money-laundering and data-protection requirements. Legal Vault is designed to support a clearer workflow around those obligations. It does not guarantee compliance by itself.
